Incorporation of Distributed Storage in ApiaDocumentum for BPS
Summary:
Considering the proposal made by the Social Welfare Bank (BPS for its Spanish acronym) and after the proof of concept was completed, it was possible to verify a technically feasible solution for tackling the inconveniences encountered with the storage of cover sheets, proceedings, packing slips and attachments in the database of the social welfare institution.

The BPS addressed and presented a proposal for the problem regarding the distribution of record files in different databases, in compliance with two conditions: that the solution includes only one system and, also, that the changes are transparent for users that use this service.
The file distribution will consider the status of the record, the creation year and the deferment period.
The solution and the modifications will become part of the base package of the future versions of ApiaDocumentum.
The main functionalities that will be affected are:
The solution to be implemented is for PostgreSQL specifically.
There will be two new grids in the transactional base of ApiaDocumentum:
The record files that are not defined will be stored in the transactional database. With the file synchronization process, the distributed database will be permanently deleted when appropriate.
The distribution of record files that were recently moved will be carried out off-line using a batch process that can be configured to run periodically.
The download of files and records will not be visually affected, it will continue with the operation known by users.
Finally, a report with on-demand execution that will indicate the status of the file distribution situation and an also on-demand query will be implemented in order to view the information of the file transfers.

- Distributed database configuration: it will have information of each of the distributed databases in which the file documents will be stored.
- Document distribution configuration: the distribution of the file documents grouped by features such as the following will be configured: file status ID, creation date of file from, creation date of file until, deferred days and the ID of the database where it will be stored.
