MVOTMA and Mides Implement Solution Developed by STATUM
Summary:
STATUM developed INDOC, a new tool for exchanging electronic files between state agencies.
Information:
INDOC is a tool for sending and receiving documents that was implemented in November, 2017. The first implementation pilot was carried out between the National Directorate of Housing and National Housing Agency. In late December, INDOC began to be used in the Ministry of Social Development.
"It is a way of 'talking' to another agency through electronic files," explained Gabriela Pérez, coordinator of Electronic Files projects at Agesic.
Its initial design was planned to allow the exchange of electronic files between agencies with or without an exchange tool or that use a tool different from ApiaDocumentum – a product developed by STATUM and used in 25 offices – that has yet to interoperate through the Electronic Government Platform.
"The aim of this tool is to allow interoperation among agencies until the tool used (by each agency) is ready to do it by itself," Ms. Pérez added. Therefore, INDOC helps to streamline the processes of each agency, while decreasing messaging expenses and increasing the efficiency of administrative bodies.
Both the National Directorate of Housing and the Ministry of Social Development carried out surveys, customized the application, trained users and carried out validation tests for the tool.
In the first quarter of 2018, Agesic plans to implement INDOC in the Ministry of Public Health and the Regulatory Unit for Energy and Water Services.
INDOC also complies with the current security requirements and protocols and includes the signing of documents though electronic ID.
Meanwhile, the purpose of ApiaDocumentum is to eliminate paper support, to improve the quality of services and to achieve transparency and democratization of information.
