The project is developed based on micro-processes that form the foundation of daily operations. The approach consists of first organizing these operational components, which are then integrated into the overall workflow related to shipments, customs controls, and administrative management.
The implementation of Apia is already underway and focuses on two specific areas. On one hand, client onboarding and document management; on the other, tracking incoming and outgoing transactions related to the logistics operations carried out for each client.
The goal is to improve financial tracking and information management.
Centralized documentation and customs controls
One of the first processes being addressed is related to the management of client data and documentation. In this process, all the necessary information is uploaded and organized so the company can respond quickly when a logistics operation requires supporting documentation.
This becomes especially relevant when a shipment arrives at a port, airport, or another entry point, and customs controls require specific documentation. To avoid delays, it is crucial to have the corresponding certificates and records immediately available.
The objective is for all relevant documentation to be pre-registered and accessible within the system. This also helps reduce operational risks and additional costs.
By integrating documentation into the client onboarding process, information management becomes part of the regular workflow. In this way, data organization becomes a structural component of the foreign trade process.
Tracking income and expenses by client
The second process under development is focused on controlling income and expenses associated with logistics operations. The aim is to record financial movements linked to each client and provide a clearer view of the costs involved in each operation.
Some daily procedures require EN Logística to make advance payments to move forward with processes or submissions related to foreign trade. These amounts are later reimbursed by the client or offset within the commercial relationship. The financial control process seeks to track this flow so that each movement is linked to the corresponding operation.
There is also the reverse scenario, where the client provides funds in advance to cover future procedures. In these cases, they are managed as a current account, from which expenses are deducted as they occur.
The systematic recording of income and expenses allows the company to monitor how the financial relationship with each client evolves. Based on this information, the company can track the real cost of operations and maintain clearer control over financial movements related to its logistics activity.
