Document Management

One of the areas where Apia has shown the most important evolution has been in its document management features. This aspect has been strengthened with each new version of the platform, with the addition of advanced functionalities that facilitate document management within workflows.

Currently, Apia allows users to define document types and their associated metadata, in addition to offering tools for their organization through document repositories and directories. Users can also set specific events that are triggered in relation to these documents, allowing more detailed control over their lifecycle.

Furthermore, the possibility of externally accessing documents has been introduced, making it easier to work directly with documents stored in Apia from other interfaces. Moreover, Apia has improved its document editing functionality and has optimized its Java programming API to extend document operations.

One of the most outstanding innovations in recent years is the incorporation of virtual documents. Unlike traditional documents, which are stored as files on the server and downloaded as they were uploaded, virtual documents do not physically exist until they are requested. When a user attempts to download one of these documents, the system generates it based on the user's permissions and creates only the content that the user is authorized to view. This technology offers an unprecedented level of flexibility and security in information management.

The possibility of including links to documents has also been added, and the functionality that allows the automatic extraction of metadata from documents uploaded to the platform is under development.

Cognitive features

In parallel to the advances in document management, Apia has incorporated new cognitive features that allow a more intuitive and efficient interaction with the platform. These developments are based on the use of natural language.

These features not only simplify interaction with the system, but also accelerate the development of prototypes and the implementation of new workflows, allowing companies to quickly adapt to business demands.

A new interface

Another key aspect of Apia's transformation has been the evolution of its user interface. Over the past five years, Apia has progressively migrated its modules to React.

This process started with the migration of the task execution module, followed by queries and, in the most recent versions, it has been extended to dashboards, panels and the functionality menu. The introduction of React has allowed the platform to become more agile and modern so that users can access information in a more intuitive way.

In the soon-to-be-released version (4.0.0.3), Apia will include a new feature called ApiaDesk, a customizable desktop where users can organize their workspace by adding shortcuts to tasks, documents or other key functionalities. This feature aims to offer more flexibility and thus help optimize individual workflow.

Improvements in security and connectivity

With each release, more features of React, a software development tool that allows building faster and more dynamic user interfaces for web applications, have been adopted.

Security is another major area of focus for the Apia team. The platform has undergone multiple comprehensive security reviews, including ethical hacking tests. Vulnerabilities have been identified and corrected with each review, further strengthening the system's protection against potential threats.

At the same time, Apia has significantly improved the way it connects and communicates with other online services by using a technology called REST services.  It means that Apia can now exchange information more efficiently and quickly with other systems and applications over the Internet, making it easier to integrate and work together with different tools and platforms.
