Apia and ApiaDocumentum in Electoral Board

In June, Agesic and the Electoral Board signed two interinstitutional cooperation agreements, one being the cooperation framework and the other the specific agreement for implementing the Electronic File in such public agency.

The meeting was attended by Mr. José Clastornik (Executive Director of Agesic), Mr. José Arocena (President of the Electoral Board) and the ministers of the institution.
The framework agreement signed by Agesic and the Electoral Board establishes the commitment to "promote better use of ICTs, simplify the processes and procedures of the State, foster digital inclusion and the implementation of technical frameworks that make it possible to operate digitally with the necessary levels of trust and legal certainty." Furthermore, the agreement determines the scope of joint action in the activities that are of interest for both agencies and the State.
The specific agreement was entered into to grant use license of Apia and ApiaDocumentum through Agesic, in order for the Electoral Board to be able to implement the Electronic File management system.
This project includes a change management process, the training of key users of the agency and the subsequent transfer of knowledge, and the customization and configuration of the required applications, considering their interoperability through the Electronic Government Platform.
Mr. José Clastornik stated that one of Agesic’s objectives is to contribute to the improvement of the State’s management, allowing Central Government agencies to reduce their operating costs with better technological tools and more efficient processes. Moreover, he reviewed some of the roles fulfilled by Agesic that can be of use for the Electoral Board, apart from the implementation of the Electronic File, such as the State's virtual acquisition system, cybersecurity, establishment of standards and availability of services.
According to Mr. José Arocena, both agreements "expand the possibilities of interorganizational cooperation with Agesic and offer the Electoral board the possibility of incorporating management tools that will allow it to be in tune with other public agencies." He also stated that the Board will be able to fulfill all proposed objectives thanks to the implementation of this tool.
