“Cercanía”, the Social Security Fund project, performed more than 130 thousand procedures in a year

The Social Security Fund (BPS for its Spanish acronym) has taken an important step in the modernization of its internal processes through the implementation of STATUM's APIA BPMS technology.

This project, called "Cercanía", has been designed to automate and streamline internal procedures in BPS by facilitating the operability and efficiency of the organization.
With this new technology, BPS can generate, in an autonomous way, all the steps it considers relevant for citizens. "This can be achieved without having to go through complicated design stages," reported Pablo Ferrari, the STATUM referent who worked on this tool.
The procedures consist of a set of steps to be taken by one or more employees, and each step is an activity. Activities can be tasks, notifications, connections to other systems, and so on. Within each activity, controls can be added to verify if what the employee is doing is correct.
"The system orchestrates the tasks of each procedure, as well as automating some activities that were previously manual. Controls to avoid errors were added (for example, validating and obtaining data from external systems) and also generating performance-work indicators," said Ferrari.
Project information
Since the project was launched, 14 procedures have been completed. Among the most important ones are the change of health providers. Now, users of the National Integrated Health System (SNIS for its Spanish acronym) can request a change of health provider when they meet the conditions established for each case as well as the subsidy for prostheses and glasses (one of the most popular procedures, which allows access to an economic benefit for their purchase).
The tool is also designed to be integrated into more complex procedures, such as the retirement process.
This innovative system incorporates rigorous controls to prevent errors, an essential feature in the digital era. Performance and labor productivity indicators are also being developed, with the aim of continuously improving efficiency and work quality. In this way, it is possible to improve the distribution of workloads among different locations. For instance, an employee located in Maldonado could be in charge of procedures that were initiated in Salto.
