New version of ApiaDocumentum enhances the exchange of files

STATUM has announced the release of version 2.3 of its ApiaDocumentum platform in July.
INFORMATION:
This update includes significant improvements in file exchange and data security, as well as a number of new functionalities and internal process optimizations.
More than 400 code and procedural adjustments were made to improve workflow and error control.
Improvements in file exchange
The main new feature is the FIDO format, developed in-house by STATUM. FIDO offers increased security through the encryption of information and the flexibility to send files through various media, including e-mail.
In addition, it allows sending files with basic information with links to access the complete documents in the source system. This avoids data duplication and optimizes the use of space and resources.
Localization
The localization feature is a crucial aspect of this new version. Localization allows various features of the platform to be configured to suit specific customer needs.
Although the functionalities are available when installing this version, some cannot be used until they have been correctly set for their specific use.
Major new functionalities
e-Notifications: they allow to electronically notify interested parties on an electronic file. When working with an electronic file, now a proceeding can be “passed to notification”, which launches a sub-process in the electronic file.
Collaborative work: several users can work concurrently on the same action.
File index: it allows viewing a list, sorted, of the parts that make up the file. This index is now exportable and compatible with PDF and XML formats.
Responsive design: through the use of specific dashboards, the platform adapts better to different screen resolutions and improves the user experience.
Embedded and stamped signatures: there are additional options for signatures in PDF documents. The embedded signature is part of the document, it is invisible, but can be verified by software tools that examine the properties of the PDF file. The stamped signature, in turn, is visible in the document and functions as a stamp or watermark that is added over the PDF content. The stamped signature is useful to visually indicate that the document has been signed.
Deadlines and alarms management: this functionality allows setting deadlines in a file, which improves tracking and compliance.
Consultation permits and task distribution: supervisors will be able to see the proceedings carried out by the employees in their office. They will also be able to see previous proceedings.
Consultation of administrative cuts: it makes it possible to view and export a summary of all activities in the system in a specific period. Activities can be filtered by file number, type of action, date, office and user.
Improved support for Mac technology: this version also includes better support for signatures on Mac systems, facilitating compatibility with a wider range of devices and operating systems.
