Board of Local Governors will implement the Electronic File with STATUM technology
SUMMARY:
The Board of Local Governors has embarked on a new stage in its digital transformation through the implementation of the Electronic File System, a step forward in the modernization of its administrative processes with the support of STATUM and its ApiaDocumentum tool.
INFORMATION:
This digital platform aims to streamline document management, improve access to information and transparency and ensure a more efficient and accessible public administration, aligned with global trends of digitization in the public sector.
The implementation of ApiaDocumentum in the Board of Local Governors will allow a qualitative leap in the transparency of administrative processes.
This technological solution allows users to track each file in real time, and also provides detailed information about its current location, the person in charge and the last action taken.
The comprehensive tracking of documents strengthens the control and internal supervision of procedures, and offers citizens clearer and more direct access to public information. With this tool, the Board of Local Governors not only increases internal efficiency, but also improves the relationship with citizens by providing more visible and accessible processes.
In terms of efficiency, the Electronic File significantly reduces processing and response times for requests, as digitized documents can be transferred from one office to another instantaneously, eliminating the delays associated with physical transfer.
This speed in the flow of files allows a better organization in the assignment of tasks within each administrative area, ensuring that staff can clearly identify the status of each file, the pending work and the tasks already performed. This contributes to an optimization of resources and work time, thus increasing productivity at every level of the organization.
The ApiaDocumentum platform also stands out for its security and robustness. Access to files is restricted to authorized users only, thus protecting the confidentiality and integrity of sensitive data.
In addition, the system automatically backs up documents, ensuring that information is protected against loss or damage. This security infrastructure complies with the standards established by Act No. 18,381 on Access to Public Information and is aligned with local regulations to provide transparent and secure data management.
Another major benefit of the electronic file is the cost reduction associated with the use of paper and the physical transfer of documents.
With ApiaDocumentum, files are available in digital format, which allows significant savings by limiting the use of paper to those cases where it is strictly necessary. This not only reduces operating costs, but also contributes to a more sustainable public administration with less environmental impact, keeping in line with the sustainability objectives that characterize modern governments.
How will it be implemented?
AGESIC will carry out the implementation of an inter-institutional cooperation agreement with the Board of Local Governors, in order to comply with the defined strategic guidelines.
The process will range from an initial needs survey to the configuration of the technological tool, together with training, validation tests and training of staff. These actions seek to improve internal document management and strengthen the agency's capabilities to achieve greater efficiency in its operations.
