Within STATUM's suite, ApiaDocumentum handles electronic files, that is, an organized set of documents and decisions concerning the same matter that must comply with specific formalities and regulations.

In any organization, whether public or private, other types of documents circulate alongside files, such as memorandums, notes, and reports. Each has its own workflow, which does not follow a single, predefined flow.

eGovia addresses document management that does not require formal administrative acts. It is a tool designed to allow documents to move efficiently and integrate with systems the organization already uses.

How it works: templates, collaborative editing, and permissions

The solution incorporates the standard features of a document management system. Work stems from pre-designed templates.

Documents are edited online and support simultaneous collaborative editing, allowing multiple people to work on the same text at the same time. The solution also includes permission management, which determines who can view, edit, or approve each document.

Artificial intelligence: faster implementation and assistance during use

Artificial intelligence comes into play at two stages.

The first is during implementation, the period in which the tool is adapted to each organization's way of working. Based on the information available about the organization, the system identifies the workflow required for each type of document and incorporates it into the system. The result is a faster, more comprehensive, and more thorough implementation.

The second is during everyday use. When a person uploads a file, artificial intelligence identifies the file and provides assistance in completing any missing information.

Integration with the rest of the suite

eGovia communicates with the other products in the STATUM suite and with the organization's own systems.

For example, if there were a need to prepare a report combining technical, legal, and financial sections within a file managed in ApiaDocumentum, the report could be sent to eGovia, where each department would find the relevant template and complete its respective stage. The document would then be incorporated back into the original file.
